What is Delegation?

Delegation can be defined as the assignment to others of the authority for particular functions, tasks, and decisions. It’s also the act of empowering to act for another or a group of persons chosen to represent others. Finally, we can say that delegation is assigning responsibility and authority to someone in order to complete a clearly defined and agreed upon task while you retain ultimate responsibility for its success. Delegation incorporates empowering your teammates through effective leadership, and may be directed in any direction and used in any organization.

It’s easy to talk about delegation, but it’s not so easy to do. And it’s a critical decision, mainly because some tasks should be handled only by you but others, which take up your valuable time, can easily be handled by someone else.

What shouldn’t you delegate? There’s no rule of thumb; let your instincts guide you. You probably wouldn’t want to delegate deciding what products your company will offer next year, but you might decide to delegate conducting a customer survey regarding improvements they’d like to see in your products. Either way, a building block for effective delegation is knowing what tasks are yours and yours alone.

Remember that there is no such thing as a single-handed success: when you include and acknowledge all those in your corner, you propel yourself, your teammates and your supporters to greater heights.

The Ultimate Delegation Aid

Many business people struggle with time management and would like to accomplish more tasks in a day or have more time for non-work activities. Many of us attempt to accomplish tasks that can be easily assigned to or contracted out to someone else. By delegating a task, you can have more time to accomplish other important tasks.

The sentence “Should I do this now?” is an aid that can help you to delegate more activities. Before you begin with an activity you ask yourself this question “Should I do this now?” will help you to delegate more activities. Before you begin with a new activity, should ask the questions five times every time with the emphasis on another word.

Here is the way you order the words in the above question:

  1. Should I do this now? is it really important? Can I cancel it entirely?
  2. Should I do this now? Am I the best person to do this? Can I delegate the task to someone else?
  3. Should I do this now? is this an executable action? Or is this a reference/information?
  4. Should I do this now? Reasoning from your own workflow: What is the next action? is the request unambiguous?
  5. Should I do this now? Many tasks seem more urgent than they are. Can it wait a day, week or month longer?
